COOKIES AND SIMILAR TECHNOLOGIES

Our online services may use cookies, pixels, web beacons, tags, trackers, and similar digital technologies (“Technologies”) essential to operate the online service and to help collect data. Cookies are small text files placed on your device to store data that can uniquely identify a device.

Technologies are used for various purposes, as permitted by applicable law, to store your preferences and settings, such as your language settings; help authenticate your Ford account and enable you to sign-in; combat fraud; manage our site and application performance; personalize your experience and the content you see on our online services, such as by conveniently auto-filling data fields in online forms; and otherwise manage our operations and sites.

Where permitted by applicable law, our websites and mobile apps may include Technologies from service providers and vendors. In some cases, that is because we have hired the third party to provide services on our behalf. In other cases, it is because our webpages contain third-party content (such as embedded videos, maps, plugins, or ads) that contain Technologies used to track operability and performance of the content, as well as your interaction with that content to determine its effectiveness. When a browser connects to a third party’s web server to retrieve content and/or Technologies, that third party is able to set or read its own cookies on your device and may collect information about your online activities over time and across different websites or online services that also contain that third party’s content or Technologies.

For more information about these Technologies, refer to the applicable website, service, or platform privacy notice.

AUTOMATED PROCESSING

We may use artificial intelligence, algorithms, machine learning, and other automated means to process your Personal Information as part of your managing your relationship with Ford.

You may have certain rights related to such automated processing, which may vary depending on your location and the location of your job. Where required by applicable data protection laws, we will notify you prior to making decisions based solely on automated processing when such decisions would have a significant legal impact on you. We will make such decisions only when we have a lawful basis for such processing.

CHOICE AND CONTROL OF PERSONAL INFORMATION

It is important that the Personal Information we hold about you is accurate and current. Please keep us informed if your Personal Information changes during your relationship with us.

Your rights may depend on local law. Ford will be guided by local law in responding to privacy rights requests. Please note that Ford must maintain certain Personal Information about you to comply with our legal obligations and for other business purposes. In some circumstances, we may be unable to fulfill your privacy rights requests.

If you wish to see any Personal Information relating to you, we recommend that you contact your local HR department, agency, or employing contractor in the first instance to see if your request can be resolved informally. You may also be able to access, edit, or delete some of the Personal Information we have collected by logging into your account and accessing the information displayed in your profile or account settings.

Subject to applicable data protection laws, you may have some rights related to your Personal Information, including the right to:

  • Request access to or a copy of your Personal Information that we collect, use, and/or disclose.
  • Request that your Personal Information be corrected, updated, and/or completed if you become aware that any Personal Information we hold about you is incorrect, incomplete, or if you wish to update your Personal Information.
  • Obtain your Personal Information in an electronic format and transmit such Personal Information to another data controller.
  • Object to or restrict collection, use, disclosure, or other processing of your Personal Information under certain circumstances.
  • Withdraw your consent to process your Personal Information in circumstances where our collection, use, disclosure, or other processing is based on your consent.
  • Request that we delete, destroy, or anonymize Personal Information that we have collected, used, disclosed, or otherwise processed about you.

If you wish to exercise any of your rights regarding your Personal Information, ask questions about this Notice, or file a complaint, please submit a corresponding request as described in the How to Contact Us section of this Notice. If you have any complaints about the processing of your Personal Information, please contact us first. Without prejudice to the above, you may exercise your right of appeal to your local data protection authority.

Under applicable law, and depending on the sensitivity of the Personal Information, we may need to verify your identity and the validity of the request before fulfilling your request. This may require you to provide your name, email address, and a government ID that we will match against our records to verify your identity.

The exercise of these rights may be restricted by the applicable law in your country of residence or locality and exemptions permitted under relevant laws. In some cases, we may lawfully refuse your request, such as where we are legally obligated or have a court order. However, if we refuse to comply with your request, we will inform you of the reason as required by law.

We will not discriminate against you for exercising any of your privacy rights under applicable law.

RETENTION OF PERSONAL INFORMATION

We keep the categories of Personal Information described above for as long as is necessary for the purposes described in this Notice or as otherwise permitted or authorized by law. This generally means holding each category of Personal Information for as long as it is reasonably necessary for us to manage your employment records, our operations, or your relationship with us; satisfy another disclosed purpose for which we collected the information; or carry out a purpose that is reasonably compatible with the context in which the Personal Information was collected. We may also maintain your Personal Information where it is reasonably required to protect or defend our rights or property or where we are otherwise required or permitted to keep your Personal Information by applicable laws or regulations. Where Personal Information is used for more than one purpose, we may retain it until the purpose with the latest period expires.

We, and our service providers and suppliers, may retain and process your Personal Information after the end of your employment period for human resource management purposes or for other purposes permitted or required by applicable laws.

For more information about our retention policies, please request retention information from your local HR department, agency, or employing contractor.

LOCATION AND TRANSFER OF PERSONAL INFORMATION

The Personal Information we collect from you may be stored in, accessed from, and processed in the United States, your country or region, or in any other country where we or our affiliates, subsidiaries, or vendors maintain facilities. The storage location(s) are chosen to operate efficiently and improve performance. We take steps designed to ensure that the data we collect under this Notice is processed according to the provisions of this Notice and applicable law wherever the data is located. Please be aware that the data protection laws and regulations that apply to your Personal Information that is transferred to the United States or other countries may be different from the laws in your country of residence, and different standards may apply to how your Personal Information is used and protected. We use appropriate safeguards to ensure your Personal Information is protected in accordance with applicable legal requirements. Where applicable, we use standard contractual clauses to govern the transfer of your Personal Information, including the European Union approved Standard Contractual Clauses.

This section shall act as a notice of transfer of your Personal Information. Where required, we will provide additional notice or obtain your consent to transfer your Personal Information outside of your relevant jurisdiction. Because our operations are international in nature, if you do not consent to such transfer, your role may be impacted or you may be unable to receive or participate in certain benefits and programs. You can withdraw your consent by contacting Ford using the information in the How to Contact Us section of this Notice.

SECURITY OF PERSONAL INFORMATION

While no systems, applications, or websites are 100% secure, we take reasonable and appropriate steps to help protect Personal Information from unauthorized access, use, disclosure, alteration, and destruction.

To help us protect Personal Information, we request that you use a strong password, never disclose your password to anyone, and never use the same password with other sites or accounts.

We use systems, policies, and procedures to protect Personal Information, including Sensitive Personal Information, from loss, misuse, or alteration. Specifically, our policies mandate the following with respect to protecting the confidentiality of Sensitive Personal Information we have collected, including government identification numbers.

  • Such Personal Information should be collected only when necessary to conduct business effectively and used only for the stated or reasonably implied purposes for which it was collected. For example, we collect government identification numbers to support legal and regulatory requirements, to provide products or services to you, and to fulfill our human resources needs.
  • Access and/or disclosure of such Personal Information must be restricted to employees, agents, and other authorized parties who have a legitimate business need for access. We may disclose such information to other external parties as legally required.
  • Such Personal Information must be stored and transmitted in a safe and secure manner. To the extent Sensitive Personal Information is collected over the public internet, encryption may be required.
  • All data containing Sensitive Personal Information, whether hard copy or electronic, must be destroyed securely in a manner that protects the confidentiality of the underlying data.
