California Privacy Notice – Retirees, Beneficiaries, Contingent Workers, and Former Employees

This California Privacy Notice – Retirees, Beneficiaries, Contingent Workers, and Former Employees (“CA Notice”) explains how Ford Motor Company and members of the Ford Motor Company family of companies (collectively, “Ford,” “we,” “us,” or “our”) collect, use, store, and disclose the Personal Information of retirees, beneficiaries, contingent workers, former employees, and other individuals who formerly worked for Ford in an employment context and who are California residents (collectively, “California Residents” or “you”). Our “family of companies” is the group of companies related to us by common control or ownership. This CA Notice also explains your rights relating to Personal Information under the California Consumer Privacy Act (the “CCPA”).
This Privacy Policy supplements our Global Privacy Notice – Retirees, Beneficiaries, Contingent Workers, and Former Employees, available here. If there is a conflict or inconsistency between the Global Privacy Notice and this CA Notice, this CA Notice will take precedence for California Residents.
As used in this Notice, the term “Personal Information” means information that identifies, relates to, describes, is reasonably capable of being associated with, or could reasonably be linked, directly or indirectly, with an individual or household. Personal Information does not include information that is publicly available, de-identified, or aggregated.
Unless otherwise noted, the information below that describes how and why we collect and use your information also describes how we have collected and used information in the preceding twelve (12) months.

SENSITIVE PERSONAL INFORMATION
We do not use or disclose Sensitive Personal Information for purposes to which the right to limit use and disclosure applies under the CCPA.
SOURCES OF PERSONAL INFORMATION
We collect the Personal Information identified above from the following sources (whether we collect information from a specific source depends on the nature of your interaction with us):
- Directly from You, in writing and/or verbally, including through onboarding paperwork, tax forms, benefits documentation, your accounts, and other information you provide to us.
- Coworkers, Managers, and Other Personnel, including through communications, correspondence, and performance reviews.
- External Customers or External Contacts, who you communicate with or otherwise interact with.
- Automatically from Office, Computer, and Telephone Equipment, including your mobile phones, smartphones, tablet devices, and software, such as electronic messaging, email, video call recordings, and internet applications. This includes personal devices if logged on to our network and/or using Ford systems (such as email, Webex).
- Created by Us, including credentials for access to our information technology systems or inferences generated from other information we collect.
- Automatically from Security Providers, including access cards and CCTV.
- Affiliates, as a normal part of conducting business.
- Service Providers and Suppliers, including our vendors or agents who provide services on our behalf, such as background screening, benefits, payroll, and other employment services.
- Universities, Recruiters, and Employment Websites, including records you instruct parties to send to us and references, and Personal Information you have made publicly available, including on sites such as LinkedIn, Indeed, Glassdoor, and ZipRecruiter.
- Trade Unions and Works Councils, including Personal Information we may receive under our collection and recognition agreements.
- Law Enforcement, Courts, Regulatory Agencies, and Other Entities, including Personal Information we receive from government agencies or courts, for legal compliance purposes; to protect your personal safety or the safety of others; to protect Ford’s or others’ rights; to investigate fraud; in connection with litigation settlements; or to meet our tax reporting obligations.
- Parties to Corporate Transactions, including as part of a corporate transaction or proceeding such as a merger, financing, acquisition, bankruptcy, dissolution, or at transfer, divestiture, or sale of all or a portion of a business or assets.
Occasionally we may request additional information from you―for example, to check if you have the right to work or to process retirement benefits. If we are not provided with information that we require by law or contract, you may lose benefits, or we may decide not to employ you or end your employment.
OUR DISCLOSURE OF PERSONAL INFORMATION
We do not sell or share for cross-context behavioral advertising the Personal Information of California Residents that we collect in the context of your work with us. If you also interact with us as a consumer, please review our Consumer Privacy Notice for more information about our practices in that context.
Personal Information may be provided to external parties consistent with our processing purposes. We disclose Personal Information with your consent; when you direct us to disclose it to others; or to manage your employment, provide benefits and services you have requested or authorized, and otherwise operate our business. We may disclose Personal Information for the uses described above to the following entities and individuals.
- Affiliates. We disclose Personal Information within the Ford Motor Company family of companies and our affiliates as a normal part of conducting business, including for managing employment and worker relationships, recruiting, administering and managing human resources, providing compensation, managing talent, administering global learning and development, offering products and services to you, and other purposes related to your relationship with Ford.
- Compensation and Benefits Service Providers. We disclose Personal Information for providing compensation and other benefits, such as benefits administration, medical and dental benefits, insurance benefits, employee assistance programs, relocation services, payroll administration, and workplace incident management.
- Business Operation Service Providers and Suppliers. We may disclose Personal Information with vendors or agents working on our behalf to help us manage our business, employment, and other contractual relationships, or to assist in protecting and securing our systems and services, including recruiting firms, IS and IT support, consultants, contractors, rewards and recognition programs, law firms, and background check providers.
- Trade Unions and Works Councils. We may disclose Personal Information as contemplated by our collective and recognition agreements.
- Government Agencies. We disclose Personal Information for employment reporting, including unemployment benefits, equal opportunity reporting, tax reporting, and other regulatory reporting.
- Law Enforcement Agencies, Courts, Regulatory Agencies, and Other Entities. We may disclose Personal Information to comply with reporting obligations (such as anti‐discrimination laws); legal processes (such as court orders, subpoenas); or other legal requirements of any governmental authority, in connection with threatened or actual litigation, to protect our legal rights or property, to protect the legal rights or property or physical security of others, to investigate possible misconduct, or for the prevention or detection of crime as such disclosure is lawful.
- Parties to Corporate Transactions. We may disclose Personal Information as part of a corporate transaction or proceeding such as a merger, financing, acquisition, bankruptcy, dissolution, or a transfer, divestiture, or sale of all or a portion of our business or assets.
- Other Recipients. We may disclose Personal Information to persons or entities upon your request; to the general public; and as part of other public disclosures.
We may share anonymized, de-identified, and aggregated information in accordance with applicable law.
RETENTION OF PERSONAL INFORMATION
We keep the categories of Personal Information described above for as long as is necessary for the purposes described in this Notice or otherwise permitted or authorized by law. This generally means holding each category of Personal Information for as long as it is reasonably necessary for us to manage your employment records, our operations, or your relationship with us; satisfy another disclosed purpose for which we collected the information; or carry out a purpose that is reasonably compatible with the context in which the Personal Information was collected. We may also maintain your Personal Information where it is reasonably required to protect or defend our rights or property or where we are otherwise required or permitted to keep your Personal Information by applicable laws or regulations. Where Personal Information is used for more than one purpose, we may retain it until the purpose with the latest period expires.
CALIFORNIA PRIVACY RIGHTS AND HOW TO SUBMIT A REQUEST
If you wish to see any Personal Information relating to you, we recommend that you contact your local HR department, agency, or employing contractor in the first instance to see if your request can be resolved informally. You may also be able to access, edit, or delete some of the Personal Information we have collected by logging into your account and accessing the information displayed in your profile or account settings.
California Residents also have the right to submit certain requests relating to your Personal Information as described below. To exercise any of these rights, please submit a request through our webform (select the appropriate account or “External Identity” if you don’t have an account) or by calling us at 1 (888) 459-1291. Please note that to submit a request to know, request to delete, or request to correct, you may be asked to log into your account to verify your identity. If you do not have an account to verify your identity, please call us at 1 (888) 459-1291 to submit a request, in which case we will collect other information to verify your identity. You may designate an authorized agent to make a request on your behalf; however, you will still need to verify your identity directly with us before your request can be processed. An authorized agent may submit a request on your behalf using the toll-free number listed above.
Right to Access/Know. You have the right to request that we provide you with the following information:
- The categories and specific pieces of Personal Information we have Collected about you in the last twelve (12) months.
- The categories of sources from which we Collect Personal Information.
- The Business Purposes for Collecting or Using Personal Information.
- The categories of Personal Information we have disclosed about you for a Business Purpose and the categories of recipients to which it was disclosed.
Right to Delete your Personal Information. You have the right to request that we delete Personal Information under certain circumstances, subject to several exceptions.
Right to Correct Inaccurate Information. You have the right to request that we correct Personal Information that we maintain about you if you believe it is inaccurate. We may request documentation from you in connection with your request. Upon receipt of a verifiable request to correct inaccurate Personal Information, we will use commercially reasonable efforts to correct the Personal Information. You may also be able to correct certain Personal Information that we maintain about you by logging into your account.
Right to Non-Discrimination. You have a right to not be discriminated against for exercising rights set out in the CCPA.
CHANGES TO THIS PRIVACY NOTICE
We reserve the right to amend this Privacy Notice at our discretion and at any time. If we make material changes to the Privacy Notice, we will provide notice or obtain consent regarding such changes as may be required by law.
